Student Account Specialist and Student Payroll Manager

Summary Description: This role is a full-time, benefit eligible position reporting to the Assistant Director of Student Financial Services.  As the Student Account Specialist, you will serve as the first line of counsel to undergraduates, graduates and parents regarding the charges and credits to their University financial account.  In addition to counseling, you will gain and develop a comprehensive knowledge of the business process by which students are charge tuition and fees.  You will learn the principles of collecting, including understanding the practices of other campus offices (e.g., Financial Aid, Admissions, Registrar, etc.) and be able to clearly communicate these processes to the students and parents.

Primary Job Duties:
Account interpretation and Collections:
  • Provide customer service by assisting students with interpreting the statement and financial aid award and addressing choices to cover outstanding balances
  • Respond in a timely manner to student account inquiries and provide assistance as needed to resolve account issues
  • Manage in-house payment plan processing, monitor deadlines agreed to in the plans, and contact students when needed
  • Follow up in a systematic basis to ensure students are making payments as agreed upon
  • Assist the Assistant Director of SFS with various collection and billing projects utilizing a variety of  excel spreadsheets for tracking
  • Contact current students with outstanding balances for collection
Student and Family Counseling:
  • Provide counseling to students and families regarding available resources to finance education
  • Provide payment options and make recommendations to the student based on the student and family individual circumstances and financial capability
  • Work closely with Financial Aid to interpret and assist students with financial aid offer understanding and net amount owed
  • Participate in New Student Registration events to provide customer service by assisting students with interpreting the award and addressing choices in financial aid to cover outstanding balances
  • Provide assistance to students in securing outside resources/scholarships/employment
Student Payroll Management:
  • Manage student hiring processes and contact students to complete missing paperwork
  • Hire students in payroll system, including completing a criminal background check
  • Assist with monthly student payroll processing as needed
Other Duties and Expectations:
  • Cross train in Cashier duties to provide backup
  • Maintain and reconcile NSF checks and returned ACH payments
  • Participate in Enrollment and Student Accounts meetings and programs; serve on campus committees, as requested
  • Be present in the office on a daily basis, unless arrangements are made with the employee’s direct supervisor
  • Contribute to the support and implementation of the University Strategic Plan
  • Participate in Warner Pacific University professional development opportunities
  • Adhere to University policies and procedures regarding career, academic, and ADA services

Minimum Qualifications:
  • Associate degree in Accounting or associated field from an accredited institution or equivalent experience in a higher education environment
  • Experience in a professional office environment interacting with customers and accounting responsibilities
  • Excellent ability to work with highly detailed and confidential information
  • Demonstrated ability to efficiently and effectively solve problems and initiate and implement projects independently
  • Ability to multi-task with accuracy and work effectively in order to adapt and meet deadlines in a fast-paced environment
  • Ability to work outside of normal business hours, as necessary (campus events, pre-registration, etc.)
  • Excellent self-motivation, oral and written communication skills, and the ability to work well with customers, students, faculty, and staff
  • Proficient in computer programs including Windows, Outlook, Word, Excel, and the Internet

Preferred Qualifications:
  • Bilingual – Spanish speaker preferred
  • Bachelor Degree from an accredited institution
  • Experience in a higher education environment
  • Experience in accounts receivable and/or collections
  • Experience in financial aid or student financial services
  • Experience using the Ellucian Colleague administrative system
  • Experience working with adult learners

Physical Demands – Work Environment: 
The position is located in a typical office environment.  Professional/business casual attire is required.
