Program Coordinator for Nursing

Summary Description:
The Program Coordinator is a full-time, benefit eligible position reporting to the Program Manager of Nursing.  This role provides complex administrative support to the Nursing Program.

Primary Job Duties:
  • Collaborate with the Program Manager for nursing student onboarding: welcome letter, registration form, and handout of upper division cohort courses for all BSN Degree Program students for each cohort
  • Under the direction of the Program Manager, communicate regarding clinical placements to request clinical rotations/dates, set course schedules via ACEMAPP, and maintain internal spreadsheets of student demographics.
  • Support the Dean of Nursing for meetings requiring minute takers and for refreshments and catering when necessary (Keurig, vending machine, pop machine, and kitchen supplies).
  • Support faculty for testing via Scantron technology, requesting textbooks from WP’s vendor for four cohorts by stated deadlines, and facilitating delivery and students’ pick-up of textbooks during orientation windows.
  • Organizing events, such as our Pinning & Praise Ceremonies, 1 per cohort; our BSN Degree Program Orientations, 1 per cohort; and Nursing’s presence at Welcome Weekend, 1 per academic year.
  • Collaborate with Program Manager to organize internal handbooks and evidence for regulatory agencies, which often requires specialized technical skills, such as embedding PDFs within PDFs, and proofreading.
  • Type, edit, and proofread letters, memos, reports, and presentation materials.  Material is frequently confidential in nature. 
  • Assist with accreditation and assessment-related projects.
  • Receive and prioritize correspondence and phone calls.  Respond to inquiries, including routine requests for materials and information. 
  • Maintain department records and files, including for students individually and in cohorts.  Material is frequently confidential in nature. 
  • Make meeting and/or travel arrangements, prepare and distribute agendas and meeting minutes, maintain appointment schedules, and plan and coordinate special events.
  • Contribute to the support and implementation of the University Strategic Plan.
  • Participate in Warner Pacific University professional development opportunities.
  • Adhere to University policies and procedures.

Minimum Qualifications:
  • Administrative experience in a professional office environment.
  • Demonstrated ability to solve problems, initiate, and implement projects independently.
  • Experience working with diverse populations.
  • Ability to maintain accuracy and work effectively in order to adapt and meet deadlines in a fast-paced environment.
  • Excellent self-motivation, interpersonal skills, and the ability to work well with university personnel, faculty, staff, and students.
  • Effective oral and written communication.
  • Proficiency in computer programs including Windows, Outlook, Word and Excel, and the Internet.
  • Experience working with diverse populations.

Preferred Qualifications:
  • Bachelor degree or minimum of three years of experience in a higher education environment.

The position is located in a typical office environment.  Professional/business casual attire is required.
