Summary Description:
The Executive Assistant is a part time  (.50 FTE), benefit eligible position and provides administrative assistance to the Vice President for Enrollment and Marketing.
 
Essential Functions:
  • Answer phone(s), greet visitors, and oversee office by providing a friendly, service-oriented atmosphere for the VP of Enrollment Services.
  • Maintain calendar, coordinate appointments, and schedule meetings for the VP for Enrollment Services.
  • Prepare documents and reports for the Board of Trustee and other internal and external groups.
  • Execute special projects for the President’s Executive Team as assigned by the VP for Enrollment Services.
  • Prepare letters and documents, database and spreadsheet management, typing, and filing.
  • Assist VP manage and implement assigned recruitment and enrollment goals/strategies.
  • Process purchase orders and check requests, make travel arrangements, order supplies, and assist VP in managing other budget related tasks. 
  • Update records in contact management system.
  • Be present in the office on a daily basis (unless arrangements are made with the employee’s direct supervisor.)
  • Abide by NACAC and NACCAP Principles of Good Practice.
  • Contribute to the support and implementation of the College Strategic Plan.
  • Participate in Warner Pacific College professional development opportunities.
  • Adhere to College policies and procedures.

Minimum Qualifications:
  • High School Diploma or GED, bachelor’s degree is strongly preferred.
  • 3 years experience as an administrative assistant, preferably in a higher-education setting.
  • Experience working with diverse populations.
  • High-level of proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
  • Experience handling highly confidential and sensitive information. 
  • Experience creating high-quality presentations and complex reports.
  • Experience tracking, reporting and forecasting department budgets is strongly preferred.
  • Ability to establish priorities, be proactive and balance several projects.
  • Ability to take minutes and transcribe them.
  • Strong organizational skills with a high level of accuracy, detail orientation, initiative, flexibility, and dependability.
  • High level of customer service and problem solving abilities. 
  • Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
