Summary Description: The Executive Assistant and Marketing Coordinator is a full-time, benefit-eligible position reporting to the Vice President for Enrollment and Marketing. This role provides administrative assistance to the Vice President for Enrollment and Marketing and coordinates general marketing projects and details.
  
Essential Functions:
  • Assist in promoting news and events for the College through creation and distribution of marketing materials, including print materials, e-newsletters, blogs, and social media sites.
  • Post approved event flyers/posters in pre-determined locations around campus.
  • Organize and file all print materials including brochures, advertising, news articles, and promotional materials.
  • Organize, code, and file vendor invoices.
  • Update media contacts and publication schedules.
  • Organize and maintain the email marketing mailing lists for College electronic newsletters and publications.
  • Assist in the curating of news and relevant social media mentions for a bi-weekly report to the President, VP for Enrollment and Marketing, and Marketing Department.
  • Oversee the ordering, proofing, and distribution of business cards, name badges, and institutional trinkets/swag.
  • Maintain institutional trinket/swag inventory.
  • Run errands as needed on campus and to Centre 205; occasional off-campus errands as requested.
  • Maintain Marketing Department editorial calendar.
  • Maintain calendar, coordinate appointments and schedule meetings for the VP for Enrollment Services.
  • Prepare documents and reports for Board of Trustee and other internal and external groups.
  • Execute special projects for the President’s Executive Team as assigned by the VP for Enrollment Services.
  • Letter and document preparation, database and spreadsheet management, typing, and filing.
  • Process purchase orders, check requests, make travel arrangements, order supplies, and assist VP manage other budget related tasks. 
  • Be present in the office on a daily basis (unless arrangements are made with the employee’s direct supervisor.)
  • Abide by NACAC and NACCAP Principles of Good Practice.
  • Contribute to the support and implementation of the College Strategic Plan.
  • Participate in Warner Pacific College professional development opportunities.

Minimum Qualifications:
  • Ability to communicate effectively in English and comfortable making phone calls and initiating/engaging a conversation, required.  Ability to also communicate effectively in Spanish, preferred;
  • Highly responsible and dependable;
  • Ability to handle social situations with gracious and respectful approach to artists, staff, faculty, trustees and other guests;
  • Effective project management and organization skills. Detail oriented. Experience with Microsoft Publisher, Photoshop or Adobe Creative Suite, preferred.
  • Strong customer service ethic.
  • Can work collaboratively and efficiently as a team player as well as work independently and be self-motivated to meet ongoing deadlines.
  • Communicate with excellence in verbal and in writing with all kinds of people. Should be able to deliver creative and innovative ideas.
  • Good team player and should have a demonstrated track record of meeting and exceeding department goals.
  • Trustworthy. Able to hold confidential and sensitive data.
  • Ability to multi-task and meet deadlines in a fast-paced, multi-task environment.
  • Experience working with diverse populations.
