Summary Description:
The Program Coordinator is a full-time, benefit eligible position reporting to the Program Manager of Nursing. This role provides complex administrative support to the Nursing Program.
Primary Job Duties:
- Collaborate with the Program Manager to coordinate onboarding for all BSN Degree Program cohorts, including preparing welcome communications, registration materials, orientation resources, cohort course handouts, and supporting the transition of students into upper-division nursing coursework.
- Coordinate and communicate with clinical partners, healthcare systems, faculty, and students regarding clinical placement logistics, rotation requests, onboarding requirements, schedules, and compliance deadlines through platforms such as ACEMAPP, StudentMAX, Complio, and partner-specific systems. Maintain detailed internal tracking spreadsheets and student demographic records while ensuring accuracy and confidentiality.
- Support the Dean of Nursing and School of Nursing leadership through administrative coordination, meeting preparation, agenda development, minute taking, event support, catering coordination, and maintaining office and shared faculty resources.
- Provide operational support to nursing faculty across multiple cohorts, including testing coordination through Scantron technology, textbook ordering and distribution, classroom preparation, and orientation support for incoming cohorts.
- Organize and execute major School of Nursing events and ceremonies, including BSN Orientations, Pinning & Praise Ceremonies, NCLEX-related programming, Welcome Weekend activities, cohort meetings, and student engagement initiatives. Coordinate logistics, vendors, communications, materials, schedules, and event execution for students, faculty, families, and community partners.
- Collaborate with the Program Manager and faculty to prepare, organize, proofread, and maintain program documentation required for accreditation, assessment, clinical compliance, and regulatory reporting for agencies such as the Oregon State Board of Nursing. Responsibilities include compiling evidence, editing handbooks, managing electronic records, and preparing technical documents and embedded PDFs.
- Draft, edit, and proofread confidential correspondence, reports, presentations, faculty materials, student communications, and program documentation while maintaining professionalism, accuracy, and attention to detail.
- Assist with accreditation, assessment, compliance tracking, and continuous quality improvement projects supporting nursing program standards and institutional goals.
- Serve as a primary point of contact for students, faculty, clinical partners, and external stakeholders by responding to inquiries, prioritizing communications, coordinating follow-up, and providing high-level customer service and student support.
- Maintain organized and confidential department records, student files, cohort documentation, clinical affiliation agreements, compliance materials, and internal databases in accordance with university and healthcare partner standards.
- Coordinate schedules, meetings, travel arrangements, calendars, faculty support needs, and special projects while managing multiple priorities and deadlines in a fast-paced academic healthcare environment.
- Support implementation of the University Strategic Plan through student-centered programming, cross-departmental collaboration, diversity and inclusion initiatives, and relationship-building with students and community partners.
- Demonstrate commitment to equity, inclusiveness, and culturally responsive student support for diverse student populations, including first-generation, multilingual, and historically underrepresented students.
- Participate in university committees, professional development opportunities, and ongoing process improvement efforts that strengthen program operations and student success outcomes.
- Adhere to University policies, confidentiality standards, professional ethics, and institutional mission while supporting a Christian liberal arts educational environment.
- Perform additional program coordination, administrative, and operational duties as assigned in support of the School of Nursing and BSN Degree Program.
Minimum Qualifications:
- Administrative experience in a professional office environment.
- Demonstrated ability to solve problems, initiate, and implement projects independently.
- Experience working with diverse populations.
- Ability to maintain accuracy and work effectively in order to adapt and meet deadlines in a fast-paced environment.
- Excellent self-motivation, interpersonal skills, and the ability to work well with university personnel, faculty, staff, and students.
- Effective oral and written communication.
- Proficiency in computer programs including Windows, Outlook, Word and Excel, and the Internet.
- Experience working with diverse populations.
Preferred Qualifications:
- Bachelor degree or minimum of three years of experience in a higher education environment.

The position is located in a typical office environment. Professional/business casual attire is required.
