Summary Description: The Academic Affairs Associate Admin is a full-time, benefit eligible position, reporting to the Vice President for Academic Affairs (VPAA). This role provides a variety of professional and administrative duties in support of the day-to-day operations and on-going tasks associated with the office of Academic Affairs.
General Responsibilities: This role works closely with the Executive Assistant to the VPAA to ensure strong service to the Academic Affairs Division at Warner Pacific University. The ideal candidate must possess excellent intra-office communication skills, research and report writing skills, computer and technological skills, knowledge of Outlook Email, GoogleDocs, OneDrive, PowerPoint, Word, and Excel or other data analyses software, and is responsible to provide other clerical supports as needed.
Primary Job Duties:
Provide broad-level assistance for the Academic Affairs office
Assist with special projects including: monitoring and ordering supplies, developing program materials, scheduling meetings, recording and distributing minutes from various committee and other meetings,
Gather information and develop reports using Word, Excel, Data analyses software, GoogleDocs and OneDrive
Support research and grant-writing activities
Build and organize electronic and other Academic Affairs folders
Manage ‘Memo of Reflection’ submissions for faculty each semester and particularly at year-end
Administer and process mid-term and end-of-semester course evaluations
Provide support to the faculty including managing faculty mailboxes, maintaining workroom and office supplies, and provide basic tech support for copier and printer issues
Provide faculty assistance with questions and projects related to Excel, Access, Word, Outlook, and PowerPoint,
Type, edit, and proofread letters, memos, reports, presentation materials, and prepare correspondence/reports
Respond to inquiries, including requests for materials and information
Maintain confidential records and files
Make meeting and/or travel arrangements
Assist with scheduling for faculty and staff interviews
Provide support and back-up to the Executive Assistant of the Office of Academic Affairs
Train and supervise student employees
Be present in the office on a daily basis unless arrangements are made with the employee’s direct supervisor
Exercise creative and critical thinking
Complete credit card reconciliations in Certify
Keep employee birthday list updated on the VPAA’s calendar
Creating Standard Operating Procedures (SOP) manual and AA office calendar
Provide support of institutional priorities
Contribute the support and implementation of the University Strategic Plan
Participate in Warner Pacific University professional development opportunities
Adhere to University policies and procedures
